The U.S. Consumer Services Card Team is responsible for our suite of consumer products, services, and experiences in the U.S., including our premium, cobrand, cash back, and lending portfolios, Membership Rewards, Global Travel & Lifestyle Services, the Centurion Lounge network, our Global Dining and Resy businesses, U.S. Consumer Banking, and best-in-class marketing programs across customer, prospect, and partner channels. The USCC team is focused on making membership an indisputable competitive advantage and helping each other become better leaders every day.

The U.S. Cobrand and Lending Analytics team is responsible for partnering with product, marketing, and ­­credit risk teams to ensure data driven insights are applied to business strategies to improve shareholder and customer value.

USCS is looking for an Executive Assistant supporting the vice president in the day-to-day operations of our organization. This role is an exciting opportunity to be part of a vibrant and fast paced team and will involve extensive collaboration with multiple partners across numerous business units and functional areas.

How will you make an impact in this role?

As Administrative Assistant, you will provide comprehensive support to ensure operational excellence and efficiency for our leadership team. Your role will be critical in maintaining seamless business operations through exceptional organizational skills, attention to detail, and proactive management of administrative functions.

Calendar & Meeting Management:

  • Proactively manage complex executive calendars across multiple time zones with meticulous attention to detail and confidentiality
  • Coordinate high-level internal and external meetings, including comprehensive preparation of agendas, materials, and follow-up actions
  • Arrange conference facilities, audiovisual equipment, and hospitality services as required for meetings and events

Executive Support

  • Coordinate senior leadership visits and travel, including comprehensive itinerary planning, transportation, and accommodation arrangements
  • Prepare & process expense reports in accordance with company policies and budget guidelines
  • Serve as the primary point of contact between executives and internal/external stakeholders, demonstrating professionalism and discretion

Financial Administration

  •  Process and track invoice payments and purchase orders through Ariba/ Stream system
  • Manage departmental corporate card reconciliation and reporting
  •  Support budget tracking and financial documentation as needed

Event Coordination

  • Organize and execute department-wide events including town halls, staff meetings, strategy sessions, and team offsites
  • Manage all logistical aspects of events from concept to completion, ensuring flawless execution
  • Coordinate with vendors and internal departments to deliver successful functions within budget

Team & Department Support

  • Facilitate onboarding and offboarding processes for department personnel
  • Maintain current organizational charts, contact lists, and email distribution groups
  • Assist with time reporting and payroll administration
  • Prepare and enhance professional PowerPoint presentations and other documents
  • Manage departmental communication, including handling sensitive correspondence

Additional Responsibilities

  • Provide ad hoc administrative support including document preparation, filing, and information management
  • Identify opportunities to improve office procedures & implement efficiency enhancements
  • Serve as a professional representative of the department in all interactions

Minimum Qualifications

  • Excellent organizational, administrative, interpersonal skills and networking skills with the ability to connect with various counterparts based in US.
  • Strong attention to detail with timely follow-up
  • Excellent communication (oral, written, listening) skills, a positive attitude and solution-oriented demeanor
  • Strong sense of integrity with ability to handle confidential and sensitive information with discretion
  • Ability to prioritize multiple tasks with minimal guidance and to proactively identify and resolve issues
  • Strong calendar management expertise and a working knowledge of common administrative systems and processes (e.g., purchasing, travel, expense management)
  • Proficiency in Microsoft Outlook and Microsoft Office, including Word, Excel and PowerPoint
  • Proactive in anticipating needs of stakeholders and responsive to requests in a timely, efficient manner
  • Proven experience working in a fast-paced, dynamic environment
  • Flexible and easily adaptable to changing priorities
